Conditions of Use:
In order to ensure Hattie can continue to serve our communities, organisations are asked to agree to the conditions.
The ‘organiser’ refers to the person(s) or organisation which requested use of Hattie for community or charity based events. The vehicle cannot be used for hire or reward under any circumstances.
The vehicle is loaned to charities, community groups and other organisations free of charge. Stagecoach does not receive any payments for use of the vehicle, including the cost of fuel or the driver.
Terms and Conditions
- Hattie is not to be used for private parties.
- The organiser must understand that due to driving regulations, Hattie is able to be on site for a maximum of 6 hours only, preferably between the hours of 0900 and 1500. Anything outside these times will be assessed on an individual basis at the time of application.
- The organiser of the vehicle has public liability insurance in place for their event to the value of £5 million. A copy of this certificate must be provided to Stagecoach in advance of the event.
- The organiser agrees not to charge for entry to Hattie under any circumstances.
- The organiser agrees not to charge for the supply of refreshments from the facilities fitted to Hattie. The organiser may ask for donations only, however it is the organiser's responsibility to acquire relevant charity collection licences, and must ensure that the appropriate signage is displayed showing the benefitting charity. Signage should make clear that Stagecoach is not levying the charge or requesting the donation.
- The organiser agrees to undertake a full risk and access assessment of the proposed site for Hattie and to forward a copy of the assessment and confirmation of permission to use the site by the site owners to Stagecoach in advance of the event.
- The organiser understands that the vehicle cannot carry passengers and the only person permitted to be on the vehicle whilst it is in motion is the driver supplied by Stagecoach. The organiser agrees not to ask the driver to carry passengers at any time, even on private land.
- The organiser agrees that no one other than the driver supplied by Stagecoach is permitted to access the cab area of the vehicle. This includes accessing the cab area to take pictures.
- The organiser agrees that they will not involve themselves or allow anyone associated with their event to in any way interfere with any aspects of the running and maintenance of the vehicle. This includes, but is not limited to, adding coolant to the vehicle, opening the engine door and inspecting the underside of the vehicle.
- The organiser agrees that if an item becomes lost or stuck under the vehicle, they will not permit any one visiting or associated with their event to go underneath the vehicle. Should an item become trapped, the organiser must inform the driver immediately. Drivers are instructed to only move the vehicle at the end of the event and once everyone has left the vehicle.
- The organiser undertakes to ensure that whilst in use, the top deck is supervised at all times by at least one responsible adult. Parents / guardians of children using the facilities on the upper deck will still be expected to supervise their children.
- The organiser will ensure that unsupervised children are not permitted to play on the upper deck.
- The organiser must ensure that children do not climb on the benches or any other part of the upper deck.
- The organiser must ensure no items are thrown from the top deck. The organiser should also ensure no balloons, streamers or any other decorations are attached to Hattie without authorisation of the driver.
- The organiser must ensure that children do not play on the stairs or anywhere on the stairwell.
- If the organiser is to use the tea and coffee making facilities fitted to the vehicle, they must ensure that when not in use they are secured so as to prevent injuries.
- The organiser agrees to remove any rubbish from their event, put the toys away in a neat manner and to ensure that the vehicle is left clean and tidy.
- The organiser agrees not to remove any items supplied with the vehicle including but not limited to tables, chairs, toys, games, dvds and electronic equipment.
- Where the board games are in use, the organiser should ensure that any small pieces cannot be reached by children.
- The organiser agrees to their event being promoted on any websites or social media pages operated by Stagecoach. The organiser agrees to provide photos of the event for post PR purposes and will ensure images are emailed to [email protected] with photo consent forms.
- The organiser must understand that Hattie is weather dependant to prevent injuries on slippery surfaces. If weather deteriorates during an event the top deck will be closed based on the drivers assessment.
On booking Hattie you will be sent a copy of these conditions and will be required to agree, sign and return before confirmation can be given.
